Migration for OMNITRACKER enhances the quality of IT-resource management in Optima Services (Optima Group)

Optima Services (Optima Group) has finalized the new project on migration for the new IT-solution CleverENGINE, based on OMNITRACKER platform, created by the German specialists of OMNINET. The result of the project could be stated as a new opportunity allowing increase of speed and quality of the customers’ requests completion. The new system automatically allows the Optima Services specialists to insert any necessary changes in accordance with the current demands.

Before making the final decision about the new product choice the Optima Services specialists performed  thorough research as well as comparing all the key automation systems introduced by the major providers represented on the Russian market. The new platform in the first term was supposed to automate the processes of Requests and Configuration Management and at the same time the transfer processes had to be completed within the shortest period of time.
The project on implementation of the technical solution CleverENGINE, based on OMNITRACKER platform was split into 4 stages. The first stage - audit and process optimization took three months, the following stage of the system tuning lasted the same amount of time, the third stage entirely devoted to the pilot exploitation was completed within a month. The fourth finalizing stage was the shortest one, it was entirely geared around  duplication. Thus the overall period from the beginning of the activities until the first registered request in the industrial environment took about six months.
Currently the new software is employed at:
·           The first line of customers’ support in 24/7 schedule, the day-shift involves 4 employees;
·           The second and the third support lines (~60 groups);
·           Contractors’ employees;
·           Customers’ employees (~12 000 people);

At present the Optima Services specialists can already confirm the positive changes as the result of the implementation of the new software.  The speed of reports preparation has increased; the processes have become more manageable. At the same time the efforts and expenses of the company were the least possible – this project was implemented without any external consulting, employing exceptionally the company’s internal sources.   External expenses were limited by the license and equipment purchase as well as by support. The new solution allows organization of the IT-support for the new customers within the shortest possible period, it also allows providing transparent integration of ServiceDesk OptimaServices system and its’ customers.  These features will support the further Optima Services plans on widening the customer and service range.

BFA Bank upgrades the processing approach of IT Management.

BFA Bank has finished the works on projecting and the implementation of configuration management and change processes based on OMNITRACKER system. This project has become a logical continuation of the course chosen by the bank management and aimed at upgrading of the internal management processes. The special feature of the project is in the great amount of adjustments of the implemented solution to the customer’s business environment.
Considering the best practices of ITIL and previous experience the project team of Digital Design suggested some recommendations which were taken into account for procedures and process role model projecting. Then the application template OMNITRACKER ITSM Center was adjusted in accordance with the customer’s business processes and applied in exploitation. The customer’s personnel received the necessary education.
Change management process and its automation means were developed in the most possible compliance with the regulations for finance and economic activities both with informational system change management rules existing in the bank.  At the same time a significant amount of the manual management and control procedures determined by those rules and regulations were replaced by automated business-logic. 
Implementation of the automated multilevel agreements and acceptance trials is worth to be paid special attention as it allowed to terminate paperwork-based approach and to put up the transparency of authorization procedures to a fundamentally new level.

OMNINET Russia and CIS and Sportmaster sum up the results of longstanding cooperation and build plans for the future

It has been more than three years since the Sportmaster company started using the OMNITRACKER, software Developed by the German specialists of OMNINET. During the first stage of the project Sportmaster specialists altogether with OmniWay professionals automatized the processes of request, work and change managements. ECCO employs OMNITRACKER to improve the workflow of the service divisions

The ECCO Company has completed a new project devoted to the divisions shifting for OMNITRACKER software developed by the German specialists of OMNINET. The originality of the project is in the transfer of non-IT service divisions to the automated service system with clearly stated mechanisms of SLA and control of registration and execution of the requests.  The key-role in decision-making regarding this project played the fact of the previous successful implementation of OMNITRACKER in IT management department which had allowed creating high-quality and effective system IT-support. The major advantage of the project is the possibility for strict recourse planning and quality control monitoring in terms of service divisions functionality.  The project investment was limited by extra-license purchasing; the implementation period has lasted for 1 month and was performed by internal specialists without any support of external consultants.

Before the implementation of OMNITRACKER platform none of the ECCO service divisions had any formalized management system. Operation processes were based mainly on e-mails, phonecalls, Excel and paperworks and for that reason the calculation of the service cost, quality and speed monitoring of service division were technically impossible to perform.   

The project implied that the new IT –platform would remove the organizational flaws same as it had been done earlier in regards of the technical support services of IT ECCO.

It is worth mentioning that the major functional of service divisions typical for a large retailer consists of the incidents of technological processes in the retailer network.  It includes work-time adjustments, correcting of mistakenly performed returns, period opening  for performing of mistakenly non-performed revaluations or incorrectly indicated ways of payment, correcting any mistakes regarding the loyalty cards, customer claims processing, any incidents connected with stores’ technological infrastructure workflow, any requests for inventory support to the maintenance department.  The incidents requesting the technical support of the IT department was the major focus of the project.

The project started with process description of the service divisions done by means of studying the existing normative materials, regulating the current operations of the service division and interviewing the process owners.
There was created a list of directions on the service divisions, which were supposed to shift for the new workflow scheme based on the new platform, which is the incident management with predefined standard operations order based on the developed standards, demanding the typical and standard work order.

 Each of the directions was given a specific order of the request processing in the new system and SLA, there also was created a business-process map. All of those made the basis of the new joint regulations of the service performance approved by all the participants of the modified processes. Then all the described in the regulations processes were realized in OMNITRACKER system. After the service work specialists training in the system operating and maintaining the user instructions, the service divisions were transferred to OMNITRACKER.  Development of all the stages of the project took less than three months. The functional equipment did not require any replacements and all the necessary modifications in the system for the workflow of all the service divisions were done by one IT-specialist of the company.

Apart the technical side of the project a lot of attention was given to the implementation of organizational-management approach which includes such notions as systematization and description of the service processes, regulation of the services, new standards and SLA implementation for each division, transition of the service personnel workflow to the new workframe schemes, personnel training and modification of roles. 

As a result the company has obtained a number of significant improvements in the divisions workflow such as increase of the speed and quality of the incident processing. The new system has allowed to connect service staff operations with KPI used for motivation calculations and to develop a transparent estimation for the necessary division resources which lead to the staff optimization. Important is the opportunity for incident number growth or decrease analysis performed in various directions, stores, regions and departments in order to work out fair management and system decisions. Apart all that the paperwork volume has dramatically decreased altogether with the time needed for the request processing. And, after all the customers’ loyalty level has gone up in general and this is one of the key success indicators in the retailers’ business.

«Delovaya Sreda» turns to German technologies

Companies "Delovaya Sreda" and OMNINET Russia and CIS have accomplished the mutual project on configuration development for OMNITRACKER software, created by the German specialists of OMNINET. The project has covered incident management and service request processes. Its major objective was to implement the new system facilitating the receipt of data on performance of IT-services providers and monitoring of operational activities of the service team.

"Delovaya Sreda" creates fair conditions for the business development of its partners - middle and small-scale business enterprises, providing IT services and solutions. As far as the operational volume has increased the incident and IT-support request management has started to become more and more important. In other words it became necessary for a high-quality product, allowing to control and monitor the task time-limits, provide reliable statistics, received throughout the life-circle of the requests, monitor all the current jobs and distribute the workload among the employees in a fair way.

One of the requirements of the new software was the ability to consider the specifics of "Delovaya Sreda" where operational success depends not only on the internal service quality but also on the quality of services provided by external specialists. "Delovaya Sreda" was in need of an effective control tool which could be able to function in the complicated system of escalation of the requests which depending on the specifics could be forwarded either to internal specialists or to external providers. Besides all that it had to be able to cope with such small-scale business specific feature as intense time history - in such circumstances the tool is required to allow quick changes into the built configuration processes.

Along with that the company needed a system providing the estimation of the necessary actions, regulation of penalties in case of SLA metrics non-compliance, allowing to make multylevel management decisions including the automatic ones.

As a result OMNITRACKER was chosen as the most satisfactory tool in terms of quality and functionality. It has served as the basis for software configuration development. The project was implemented by OMNINET Russia and CIS Professionals and the specialists of "Delovaya Sreda".

Considering the peculiarities of the company work-structure there was created a system directed to service-levels interaction, allowing data consolidation in accordance with requests, monitoring the life-circle stages starting from the zero point including step-by-step operations, planned completion date, real accomplishment time and ASL compliance. Also, there have been created several rather flexible interfaces for integration including web-services, lock for integration by means of e-mails, import and export of files.

ITSM-system migration project of VTB24 – early results

On the 26th of November at the “Yaponskiy Dom” Business Center, Moscow from 9:30 untill 14:00,  a meeting of professionals involved in the VTB24 project of ITSM automation system migration from HP Open View Service Desk for OMNITRACKER – software created by OMNINET will take place. The project was fulfilled a year and a half ago, ITSM-system migration was accomplished by means of company Cleverics.

This event is called “Case: migration of ITSM-system in VTB24”, and it is devoted to the project which can be described as both rare and outstanding due to the numerous factors, accompanying the general tasks.

One of such factors is the migration scope - the automation system of VTB24 is currently used across the territory of 700 subdivisions of VTB24, spread all over Russia; it supports  the interaction between 1.2 thousand of specialists and 30,000 end users, processing over 5 000 requests on daily basis. The system contains more than 60,000 configuration units in CMDB with connections.

The process of migration was performed within an unusually short period of time – it took seven calendar months including the period of experimental-industrial exploitation.  Another remarkable feature of the project is that the project team consisted of three specialists only. The ITSM-system switching for the new platform was done within one night at the circumstance of 24x7 functioning mode. 
VTB24 project is also notable in terms of depth of process developmental work and instrument customization.  VTB24 sustainably and systematically widens the area of process management.  The specialists of VTB24 have done a great job having dramatically changed configuration of functioning at that time software, HP Service Desk 4,5. Currently the ITSM-system includes incident management, configurations management and CMDB, the jobs on organization of the IT-service level management are almost completed. During the period of time which has passed since the moment of project completion some certain updates and modifications were made and some precious experience of the new system exploitation was gained. Furthermore it led to the start of the other dependent projects aimed at VTB24 processes migration from BMC Remedy and LANDesk Service Desk for the unified automation system based on OMNITRACKER

The event will include several informal reports made by the specialists of Cleverics, OMNINET and VTB24 in terms of application of OMNITRACKER in migration projects. There will be considered peculiarities of projects for migration for OMNITRACKER from other ITSM-platforms. The specialists will share their practical experience of cooperation with companies like VTB24 – large enterprises having complicated internal and geographical infrastructure.
